Quickly change values in a data range with Excel's Paste Special

When you're working with large quantities of data, any time-saving trick is welcome. Check out how easy it is to use Microsoft Excel's Paste Special feature to change values in a data range.

If you're an IT pro who works with a lot of data, you're probably always looking for time-saving tips that will help you speed up the process of making changes to data values. For instance, say you need to update prices on your product list, or you need to know how a 5% increase in shipping costs will affect sales.

Instead of going through your data and updating all pertinent cells individually, you can have Microsoft Excel's Paste Special feature update the data all at once.

For example, to update prices for 100 items by 5%, follow these steps:

  1. Enter 1.05 in an empty cell of your spreadsheet.
  2. Select the cell and click Copy.
  3. Select the range of values to be updated.
  4. Go to Edit | Paste Special.
  5. Under Operation, select Multiply and Click OK.

All selected values will be updated by 5%. You'll be amazed by how much time this trick will save you when you change values in a data range.
