Print a list of your recurring Outlook appointments

Outlook is great at keeping your appointments, but it can't print a plain list of recurring appointments. When you need such a list, export it to Excel.

Sometimes, it would be helpful to have a list of appointments for recurring events. Unfortunately, Outlook can't print such a list using any of its built-in features, but you can still get a printed list. Simply export your calendar to Excel. Once you do, you can sort and filter the list as needed before printing.

To export your calendar to Excel, do the following:

  1. From Outlook's File menu, choose Import And Export.
  2. Choose Export To A File from the Choose An Action To Perform list and click Next.
  3. Select Microsoft Excel 97-2003 from the Create A File Of Type list and click Next.
  4. Click Calendar in the Select Folder To Export From list and click Next.
  5. Click Browse and specify the folder where you want to save the workbook.
  6. Give the workbook a name and click OK.
  7. Click Finish.
  8. Specify the appropriate date range for your export.

Once Outlook completes the export, open the workbook and click the Calendar tab. If there's no tab named Calendar, you might have to click around a bit to find your Calendar items. You can use a filter to exclude all but the recurring items and then sort the filtered  results to arrange them as needed. Then, print the filtered list.
