Connect to your Zoho Docs cloud from your Android tablet

Jack Wallen takes a look at Zoho Docs, a free application that lets you view, upload, share, and tag documents in your Zoho Docs cloud account from your Android tablet.

There are plenty of cloud-based office suites on the market. If you're not a fan of either Microsoft or Google, you might have discovered Zoho Docs. Although Zoho Docs doesn't have the following or reputation of Google Docs or Office 365, it's a quality cloud-based product that could serve your small business needs. And with the addition of the Zoho Docs Android tablet app, Zoho becomes even more worthy of your attention.

The Zoho Docs Android tablet app offers the following features:

  • Access your Zoho Writer, Sheet, Show documents
  • View documents, spreadsheets, presentations, PDFs, and other types of documents
  • View shared documents
  • Upload any file from your mobile device directly to Zoho Docs
  • Search your documents
  • Share your private documents to other Zoho users
  • List view with Swipe tabs
  • Tag a document
  • Google Apps login

The one caveat of the Zoho Docs tablet app is that it does not include any sort of document editor. You can, however, view your documents from within the app. For editing, you'll need to employ the likes of Kingsoft Office, and then upload the files to your Zoho Docs cloud from the Zoho Docs app.

With that in mind, let's install this piece of software and start using it.

Installation

The installation of Zoho Docs on your Android tablet is simple. Follow these steps:

  1. Open the Google Play Store
  2. Search for "zoho docs" (no quotes)
  3. Tap the entry for Zoho Docs
  4. Tap Download
  5. Tap Accept & install

Once the installation completes, you should find the Zoho Docs launcher in your app drawer (it might also appear on your home screen). Tap the launcher to start the application.

Usage

The first thing you must do is connect the Zoho Docs application to your Zoho Docs account. To do this, open the application and enter your Zoho credentials when prompted (Figure A). Figure A

Once you've logged in, you'll find yourself on the Zoho Docs main screen (Figure B). From here, you can view all of the various documents on your account. Be sure to give it a moment for the sync to complete. Figure B

The Zoho Docs app has a simple but easy-to-use interface.

There are no settings for this apps, so it's fairly basic. In fact, if you tap the menu button anywhere by the main screen and the Tags screen, nothing happens. If you tap the menu button from the main screen, you get the following options:

  • Refresh
  • Log out
  • Feedback

As you might expect, the application is quite easy to work with. You can view your docs and upload them to your Zoho Docs account. Beyond that, the only other actions you can take is sharing and tagging documents. Here's how to manage these tasks.

Sharing

To share a document, follow these steps:

  1. Open Zoho Docs
  2. Navigate to the document to be shared (do not open the doc, however)
  3. Long-press the document
  4. Tap Share
  5. Enter the Zoho username or email address for the share (Figure C)
  6. Select if the address will be a viewer (read-only) or collaborator (read-write)
  7. Tap Share

If you attempt to share to a non-Zoho user, the share will fail.

The one caveat to sharing is that the user you are sharing with must be a registered Zoho user.

Tagging

When you tag a document, you make it much easier to search within your Zoho Docs account. To add tags, here's what you have to do:

  1. Open Zoho Docs
  2. Tap Tags from the main screen
  3. Tap the menu button
  4. Tap New Tag
  5. Enter a name for the new tag
  6. Tap Done

Now that you've created a new tag, you have to add the tag to a document. Simply follow these steps:

  1. Open Zoho Docs
  2. Navigate to the document (but do not open it)
  3. Long-press the document
  4. Tap Add Tag
  5. Select the tag(s) you wish to apply to this document (Figure D)
  6. Tap Done

You can add as many tags to a doc as you need.

With your tags added, you can quickly filter documents by going to the Tags screen and then tapping the tag to filter. Only documents associated with that tag will show.

It's not a perfect solution, but Zoho Docs is an easy way to interface with your Zoho Docs cloud account through your Android tablet. If Zoho included an editor with this tool, it would make the application far more useful. However, as is, it's still a fast way to view, upload, and tag  documents for your Zoho Docs account.
