The Archieve Settings - in 6.0 isn't on the Tool Inbox menu - it's only on the Action Archieve menu...

Otherwise interesting article - you may want to have one on how to use the Archieve database ...
We have Notes Client V5.0 but I can not get the "Tools" Menu to look like those in the article?

It doesn't look like my 5.0 version ... looks close to my 6.0 - except the Tools Menu - Doesn't have the Settings... thats under my Action..

it looks that you are not very familar with Lotus Notes Huug !
Just go to Action->Upgrade folder design and press to Automatic

This was an interesting article. However, I would like a little more depth to the information. For example, how do you set it up to perform the archiving on a schedule? When I click the schedule button it doesn't stay clicked. I still have to initiate the archiving manually. Are there other steps necessary to set up the archive schedule?

Great starting point for my users although we are still using 5.0.11 instead of 6.0.
This is not correct, per default that seeting is on but if you change the settings in the DB File->Preferences->User Preferences. There you go to the Mail Tab choose then always prompt or dont't keep a copy also. I do not recommend the second one but it will reduce dramaticaly the size of the Mail DB. Users have to ZIP their files so the 9 to 30 MB files will not going through the Network.

Archive files!!!

I am part of the support team contracted to a major company. The company's Notes support team neither supports archive files and nor do they teach the users about archive files. Users stumble on the process or they get set up by a co-worker who has discovered the process. But NO ONE understands that they are responsible for backing up their own archive files.
We replace a dead drive, restage a drive, or "tech refresh" the user. The next day: "Where's my archive file? What do you mean, did I back it up?" Over and over and over again!
okay my archive file is a bit out of control, it is now up to 4 gigs and you can only imagine how long it takes for me to search through the database.

i tried indexing my archive database and waited hours but nothing happened (cpu usage was 99% throughout this time) except that it seemed like it was locked up.

can i break up this large file into smaller files? if yes, how do i go about doing it?

any thoughts or suggestions?

I am wondering of your note because my archive file takes now about 3.5 GB. What do you have for a computer ? Do you have 512 MB of memory at least ?

How complex is your folder structure ?

Following steps will help you. Copy the Archive DB without documents and without acl so so are sure to be manager and to have the file structure. The compy about 600-900 mails in the corresponding folders. If you need more place make a new copy with a new name (perhaphs while you copy the DB give it the full index option with it and to do it once a day)

I have many users set their archive location to their network home directory file server. However this file server is being replace with new file server and new naming standard. Where is the settings on Notes client store on PC? I notice that it used notes.ini to store archive location. I changed the location on notes.ini file but the setting on Lotus Notes client GUI did not change and still using the old setting when run the archive. I search registry on the PC but found no key entries about archive setting location. Please advise. Thanks.

I really don't like these archive routines as you end up just pushing the problem into another database.

It doesn't really help you or your users with search, it doesn't help on disk, it doesn't help your reduce your back up times.

If you really need to archive you mail files you need to look at something like http://www.ibm.com/commonstore or http://dexmare2m.com .

Please advise how to change the order of archiving files shown on the LN.
Is ther a way that I can make my Archive private, by adding a password to access it, etc? I just want to ensure that if someone somehow has access to my computer/Lotus notes email, that they cannot access my Archive folders without another password... Is this possible?

I used this approach to create a local archive (a few years ago now). However my Archive file is now 6GB in size.

This means that each time the archive gets updated (by the scheduled archive job) my backup notices that it has changed and start backing it up again - This causes lots of frustrating performance etc. problems

I would like to start a new archive, however I still need access to my old archive (I have to lookup old emails at least once a week)

Is there any way to start a new archive file but still keep access to my old mail archive

In versions prior to 8.5, I was able to "archive an archive" so that I have archive files by year of emails to reach back into when necessary. Now, after upgrading late 2011, when I am ready to archive last year's info, I find the option to "archive the archive" is not available on the menu.

Is this an oversight on the part of the Notes team? Is it now a new 'feature' and Notes has less value to me now than before? Or is there another method for archiving last year's data that I have yet to find? (Yes; many searches have been performed.)

Would appreciate any suggestions on how to archive last year's data into a separate file. Thanks!
