In documents of this type that I create I use a couple of additional Word features.

In the Footer, or header, I include a field code for the fully qualified file name so that any authorized person (granted access to the project folder on the LAN) can find the source file. I also include a "Last saved" or "Last Printed" field code. This way if there is any discussion about which printout is "correct" you can use the date/time stamp to identify the most current version of the source file. It's also handy if you have multiple printouts/generations of the same doc sitting on your desk.
