The book "Project Management for Data Conversions and Data Migrations" by Charles R. Scott contains an excellent methodology for managing documents.

This article is right on except there should be a loud "do it" for any project. Managing documents is a must.

I always create a unique cover page for a project and make sure every project document uses that page. It might be a logo or it might be a layout that is a bit unusual. It makes it much easier for people to find your project documents in a pile of paper. When they receive a new document, they also know at a glance that the document relates to the project.

One user of our project management software had the answer. She knew that after logging the document into the database, you could produce a single page report with the document details. She simply refused to look at any document that did not have the report attached as a cover sheet. It was sent back. As project manager, she quickly enforced logging documents which took all of 2 minutes rather than searching for documents for 20 minutes.
