Mail Merge shows too many decimal places

In Word 2003, I am experiencing a problems using mail merge with an Excel data source. The issue comes up when you have a number in Excel; i.e., 1.333. The number is formatted in Excel to display only 3 decimal places, however when you use mail merge and bring that data source into Word, the number will display an infinte number of decimal places; i.e., 1.3333333333333333… I’ve tried using the same Excel data source in Word 2000 and I don’t have this problem so it is definitely a bug in 2003. Has anyone else experienced this issue or come up with a solution for it? (I realize this is regarding Office 2003 and I choose Office 2000, but there wasn’t an Office 2003 to pick from. I’m hoping someone out there is using this version and can help!)

Change your import method to DDE.

The other person who answered suggested using a dde option – which is good, but I have encountered issues with that as well. For my particular situation, I finally had to format the merge field by using switch codes. Press Shift F9 while highlighting the field. The name of the field will show and you can add to it the formatting that you need like this example, which would output as $1,000.00
{Mergefield” Amount” \#\$#,###.00}
It might work for you as well by limiting the number of decimal places.

Thanks to both DKlippert and mlrome for your answers and I apologize for not getting back to you sooner. I have been working out of the office on a project and just got back! Anyway, I tried both methods and DKlippert’s was definitely the simplest, although I did appreciate the field code idea. I haven’t worked with field codes in the past too much, though, and couldn’t make it work properly by following the example. I did some research and discovered that in mlrome’s answer there was an extra backslash which shouldn’t have been there. When I formatted it like \##.000 I got the results I wanted.

1. Introduce a new column
2. In the new colum first cell type
=TEXT(A1, “0.00”) where A1 is the cell of the column that gives many decimal places and “0.00” is the desired number format
3. you may leave the format of the new column as General.
4. In the mail merge, use the new colum

The way I solved this problem is by saving my data as CSV and using that data instead.
