      An array is defined as “An orderly arrangement”. It can be thought of as a collection of data packaged in a container. The individual items in the container can be selected by referring to their location; first, second, and so on.

      • Each argument within an array must have the same amount of rows and columns.
      • You must enter an array by pushing Ctrl+Shift+Enter.
      • You cannot add the {} (braces) that surround an array yourself, pushing Ctrl+Shift+Enter will do this for you.
      • You cannot use an array formula on an entire column.

      From one presentation to another

      Most of you would know that you can insert slides from another presentation by using the Slides from files menu option in the Insert menu.
      This is another (harder) way to do the same.

      Open the presentations you want to copy/move slides to and from.
      Click Slide Sorter on the View menu. On the Window menu, click Arrange All to display both presentations.

      Click the slide you want to move, and drag it to the other presentation. When you drag and drop slides between presentations or from PowerPoint to other apps, Windows moves the slides instead of copying them. To keep the slides in the original presentation as well, press Ctrl while dragging and dropping.

      To select multiple consecutive slides, click on the first one, then click on the last one while pressing the Shift key on the keyboard, and all slides between the first and the last will appear highlighted.

      Note: To select more than one noncontiguous slide, press Ctrl while you click.

        If you don’t use a third party “zipper”, like WinZip, when you attempt to locate a zipped file to attach to an email message, the file appears to have vanished. You are forced to open Windows Explorer, find the file and then drag it into the Outlook message box

        Cause: Windows has a system component that treats zip files like ordinary file folders and Outlook sees these files as folders. In most cases, it only happens when you don’t have third party compression programs installed, so you may see the behavior on one system but not another.

        Solution: Disable Compressed folders. If you use a third party program you can leave compressed folders disabled.

        To disable the feature at the Start menu, Run command, type:

        regsvr32 /u zipfldr.dll

        To restore the functionality, return to Start Menu, Run command and type:

        regsvr32 zipfldr.dll

        Highlight entries


        Conditional formatting can be set up by selecting the whole range, or for the first cell in the range and then copy down that conditional format. I find it is usually just as easy to select the whole range to start with. The formula will adjust itself.

        In this example, cell B2 has a heading of Product Numbers.

        Select cell B3 (or the entire targeted range) and from the menu.

        Select Format > Conditional Formatting.

        The Conditional Formatting dialog opens with the initial dropdown saying

        Cell Value Is
        “.

        Click the arrow next to this, and choose

        Formula Is
        “.

        After selecting “
        Formula Is
        “, the dialog box changes appearance.
        Instead of boxes for “
        Between x and y
        “, there is now a single formula box.

        You can type in any formula as long as that formula will evaluate to TRUE or FALSE.

        The formula to type in the box is
        =COUNTIF(B:B,B3)>1

        Conditional Formatting

        This says, “look through the entire range of column B.

        Count how many cells in that range are the same value as what is in B3.”
        (In the graphic, B7 is the Active cell.)

        That same comparison will be made in every cell that contains the conditional formatting.

        (If your data is in column E and you are setting the first conditional formatting up in E5, the formula would be =COUNTIF(E:E,E5)>1.)

        Anytime a duplicate appears in the range, it will receive the special formatting.

        In this example, any time a duplicate number appears anywhere in column B, even if it is not itself formatted, the selected range will reflect the duplicate.

        =COUNT(B:B,B3)>2 would count entries that appear more than two times.
        =COUNT(B:B,B3)=2 would count entries that appear twice.

        If you want only a part of the column in the formula, it is easier to use absolute addresses, such as =COUNT($B$3:$B$200,B3)>1

        I used to ask “How many have ever used WordPerfect?” Over the years it has gone from about 50% to blank stares.

        WordPerfect (WP) couldn’t bring itself to accept the existence of Windows, and Microsoft ran past, taking over the market.

        Word is Object-Oriented, WordPerfect is Stream-Formatted.

        “What does this mean? Well, this basically means that when you make a change to a WordPerfect document, the changes take effect ‘From THAT Point Forward’. You generally don’t need to select an Object (e.g., a word, sentence, or a paragraph) in order to effect a change. You can simply select a color, a font, a paragraph style, etc, and the whole document will be affected (as stated, from that point forward). Stream Formatted is, as you can imagine, like a stream of formatting that flows throughout the document.

        Word, on the other hand, is object-oriented. Every letter, word, sentence, and paragraph is an object. To help people grasp the concept of object-oriented programming, Microsoft uses a simple analogy: oranges. You can imagine that an orange has several attributes that can be changed: it has a color, a texture, etc. It can be changed by being painted or peeled. Therefore, once you understand that you need to select an object when you want to manipulate your Word document, you begin to understand how to work in Word.”

        You can write an email message in Word, but there is no need to copy and paste it into Outlook.

        Select File>Send To>Mail Recipient. Word will open your default email program and place the message, or document in the composition window or include it as an attachment.

        In the future there will be no need to select Word as your email editor. It will be the only editor Outlook 12 uses.

        When describing how to Sign on to Windows, it’s nice to be able to show what the screen looks like.

        Print Screen won’t work, because the cache has not been set up until after the process.

        Here’s how it’s done:

        1. Press Ctrl+Alt+Del to open the Windows Task Manager
        2. Click on the Processes tab and highlight Explorer.exe
        3. Click “End Task” in the lower right corner
        4. A warning will pop up, click Yes

        If everything worked, your taskbar and desktop should have disappeared.

        Don’t worry, it’s temporary.

        1. In the Task Manager, go to the File menu and select New Task.
        2. In the input box, type “logonui” and click OK.
          The logon screen should now appear behind the Task Manager.
        3. At this point, go ahead and take your screenshots. You can open Paint by typing “mspaint” into the New Task box.
        4. Once you have finished taking and saving the screenshots, select “logonui.exe” in the process list in the Task Manager and click End Task.
        5. This will close the logon screen.
        6. Finally, go to File and New Task. Type “Explorer” into the text box and click OK.

        Your taskbar and desktop should now re-appear.

        “In the newspaper business they teach you to put the least important stuff at the end, so if your story was cut for length the reader wouldn’t miss much. But in a presentation, it helps to start with the end, because that’s when the results should start coming in.

        There are two ways to start from the end.

        The first is asking yourself what results you want from the presentation. Is it sales? Understanding? Recruits? Strokes? Whatever you’re looking for, that’s where you need to start, because without a clear outcome in mind, there’s no way your presentation will come out clear.

        The second is to state your conclusion. Larry Gottlieb calls this the ‘conclusion first’ approach. First impressions last longest. If you don’t say the one thing you need to say right up front, it may never get heard.

        Starting with your conclusion also tells the audience you won’t waste their time with preliminaries.”

        Simple exchange

        To transfer data from an Access query or table in another Office program, such as Word, there’s no need to manually export the data.

        1. Open the target Office document
        2. Arrange both applications on the screen
          (Right-click an empty part of the Task bar and choose Tile Windows Vertically)
        3. Switch to Access and select the fields or records that you want copied
        4. When you’ve finished selecting the data, move the mouse pointer near the border of the selection until it turns into an arrow
        5. Finally, drag and drop the data to your target document

        You can also select a whole table, go to Edit>Copy. Switch to Word or Excel and Paste.

        It works in the other direction too. Select some Excel data. Switch to Access.

        While viewing the Tables Objects, Paste the Excel data. It will form a new table.

        A photo gallery is a Web page that contains a collection of photos arranged in a specific layout. Microsoft FrontPage provides four different layouts that you can use to arrange your graphics.

        1. Open your Microsoft Office FrontPage 2003 Web site.
        2. On the File menu, click Import.
        3. In the Import dialog box, click Add File.

        If you need to look at more than one part of a document at once, consider splitting the window.

        To split the current window, just go to Window>Split from the main menu.

        Another way is to use the splitter control between the file tab channel and the scroll bar for the doc.

        To create new windows for the same document, just go to Window>New Window and create as many views on the same document as you would like.

        There are a variety of barcodes. POSTNET is used for mailings.

        Word includes a POSTNET field:

        { BARCODE \u “LiteralText” or Bookmark \b [Switches ] }

        “LiteralText” or Bookmark

        Delivery address and ZIP Code. When followed by the \b switch, a bookmark can replace LiteralText.
        For example, the bookmark “ENV_ZIPCODE1” represents the address in the active document; it’s inserted by the Envelopes and Labels command.

        When preceded by a bookmark, uses the ZIP Code information from the address defined by the bookmark.

        POSTNET delivery point bar codes consist of 62 bars broken down as follows:

        • 45 bars (9 sets of 5 bars) for the Zip+4 Code.
        • 10 bars (2 sets of 5 bars) for the delivery point code. The delivery point code is typically the last two digits of the street address or box number.
          For high rise buildings, the delivery point code is calculated according to a more complex set of rules.
        • 5 bars (1 set of 5 bars) for the correction character. The correction character is calculated by adding all the numbers in the Zip+4 Code and then subtracting that number from the next whole integer of 10.
          For example, if the Zip+4 Code numbers total 23, the next whole integer of 10 would be 30, and the correction character would be 7.
        • 2 bars (2 sets of 1 bar) for the long bars that frame the beginning and end of the bar code.

        For other applications, you will have to either buy a new font, or perform a mail merge with Word.

        Too many PowerPoint shows consist of a massive deck of slides. The audience leaves either overwhelmed or wheeled out unconscious from the overload.

        Elliot Massie is the head of the MASIE Center is an international e-lab and ThinkTank located in Saratoga Springs, NY.

        One feature of the sessions is a presenter’s limit of only 1 page.

        Think about this limitation the next time you are asked to lead a meeting.

        “Every session at Learning 2005 will be limited to ONE PAGE (a slide, a poster, a mind-map, a single question or even just one word!)

        Each facilitator of a case study, discussion, conversation or Radar Screen session will be asked to create a GREAT “1 Pager“. It might be a single question such as,

        “What is the impact of increased Compliance on Quality and Budget for Training?”

        Or, it might be a mindmap of several concepts. Or, a graphic. Or, a simple list of Do’s or Don’ts. But, it will just be a “1 Pager”!

        Most of our rooms will not be darkened to feature the LCD Projector. Instead, these will be posted on LearningWiki, the open wiki/blog software for the event.         The ICC was established in 1993 by eight industry vendors for the purpose of creating, promoting and encouraging the standardization and evolution of an open, vendor-neutral, cross-platform color management system architecture and components.

        The intent of the International Color Consortium (R) profile format is to provide a cross-platform device profile format. Device profiles can be used to translate color data created on one device into another device’s native color space.         Why speculate about the future, when we’ve already been visited by a representative?

        “A tale that disturbed me, concerned me, made me wonder if our world as we know it has less than 15 years left.

        It is the tale of John Titor, a self-proclaimed time traveler from the year 2036.

        Okay, it sounds crazy. It’s not crazy, though . . .it’s simply a hoax. It’s a compelling hoax, so I decided to write my take on it. After some initial ‘what if’ excitement about it, the reality set in that this wasn’t what it appeared to be.         Design and layout

        One of the easiest ways to set up spreadsheets that calculate or generate results that need to be reported is to separate the function from the form. Just like a shiny exterior on a car hides the internal engine and wiring. I always create my reports and front end menus to look good and generate results and calculations in more functional sheets.

        Hiding unnecessary sections

        If you must have calculations and working sections visible, then hide the unnecessary bits. Hiding a row or column is only one way of doing this. Using the group function you can rollup whole rows of information, e.g. components that add to a subtotal or constants and variables such as exchange rates, interest rates, and other indexes.

        Use of colour and graphics

        I like to use the company logo or other graphic as a design element in my spreadsheet. Sometimes I do this by using the corporate colours, other times by using the graphic itself. If I have a spreadsheet with a lot of macro buttons, I may use command objects and use the logo as a picture on the button.

        Removing excel components

        There are a number of excel components that you can turn off. Menu screens and reports screens may not need horizontal or vertical scroll bars, sheet tabs or row and column headings. Using macro buttons to return to a menu can overcome the need for sheet tabs. Not displaying gridlines will give a clean uncluttered look to a layout, and then using borders as necessary can create emphasis in the right areas.

        A variation of this technique could also be used with an IF statement to display different pictures based on some criteria, such as Zip code.

        1. Open the Excel worksheet that you use as the mail merge data source.
        2. Insert a new column that has a column heading such as Picture.
        3. For each row of the Excel worksheet, insert in the Picture column the path and the file name of the picture that you want to use for that record of the data source. Additionally, enclose the path and the file name in quotation marks ().

          For example, copy the path and the file name of the picture in Windows Explorer. Then, paste the path and file name into the Excel worksheet.

          Note The path and the file name of each picture in the Picture column will appear similar to the following example:

          “C:\Documents and Settings\username\My Documents\My Pictures\foldername\filename.jpg”

        4. On the Edit menu, click Replace. Then, replace each instance of a single slash mark (\) with double slash marks (\\) in each path.

          For example, each path should now look similar to the following example:

          “C:\\Documents and Settings\\username\\My Documents\\My Pictures\\foldername\\filename.jpg”

        5. Save and then close the Excel worksheet. Then, quit Excel.

        In Word, follow these steps:

        1. Open the mail merge main document.
        2. If the Excel data source is not attached, attach the data source. To do this, go to Step 3 of 6 in the Mail Merge task pane. Click Browse, and then attach the Excel data source.
        3. Click Next: Write your letter.
        4. In the mail merge main document, move the insertion point to the location where you want the picture to appear.
        5. On the Insert menu, click Field.
        6. In the Field dialog box, click IncludePicture under Field names, and then click OK.

          Note You may receive the following error message:

          Error! Filename not specified

        7. Press ALT+F9 to display the field codes in the mail merge main document. You will see a field that is similar to the following field:

          { INCLUDEPICTURE \* MERGEFORMAT }

        8. Move the insertion point into the field immediately following INCLUDEPICTURE.
        9. Press the SPACEBAR, and then click More items on the Mail Merge task pane.
        10. In the Insert Merge Field dialog box, click the picture merge field, such as Picture, and then click Insert.
        11. Click Close to close the Insert Merge Field dialog box.

          The INCLUDEPICTURE field should now look similar to the following field:

          { INCLUDEPICTURE { MERGEFIELD “Picture” } \* MERGEFORMAT }

        12. Press ALT+F9 to hide the field codes in the mail merge main

        13. Click Next: Preview your letters.

        14. Click Next: Complete the merge.
        15. In the Mail Merge task pane, click Edit individual letters.
        16. In the Merge to New Document dialog box, click OK.
        17. On the Edit menu in the merged document, click Select All.
        18. Press F9 to update the fields in the merged document.
          (Word mail merges are not dynamic)
        19. To print your letters from the merged document, click Print on the File menu. Each printed letter will contain the picture that you specified in the Excel data source.

        Most every newspaper in the world has started publishing these brain teasers.

        “Free keyboard layouts — called Dvorak layouts — are available for people who type with one hand or finger. These layouts make the most frequently typed characters on a keyboard more accessible to people who have difficulty using the standard keyboard layout (called the “QWERTY” layout).

        Dvorak keyboard layouts reduce the amount of motion required to type common English text. Use of these layouts may also help avoid some types of repetitive strain injuries associated with typing.

        Studies have also shown an increase in typing speed and accuracy when using the Dvorak layout for two hands. The left-hand or right-hand keyboard layouts can also be useful for people who type with a wand.”

        You do not need to modify your hardware keyboard to use these layouts, but you will need to change your keyboard settings to use the Dvorak layouts.

        (A keyboard layout is a map or a definition of how keys are laid out on your keyboard. The keyboard layout you use is determined by software in your computer. The letters on your keys indicate the standard layout for your keyboard.)

        After completing a merge to a new document, the status bar may indicate that the insertion point is located on page 1 of 38 pages. This is a bit of mis-information.

        If you turn on Show/Hide and look at the merged document in Normal view, you’ll see that the merged document has section breaks rather than page breaks.

        If you try to print what should be Page 1, the entire document will print.

        To print just the first section, use “s1” in the Print dialog box.

        Another way to handle it is to go to Edit>Replace and replace

        ^b” (section break)

        With

        ^m” (manual page break)

        Noncontiguous pages

        A couple overlooked



        Right-clicking on objects, such as Tables, Reports or Queries, gives you the opportunity to print, copy, and work with them.

        There are other options revealed by right-clicking on the Database window itself.
        Right-click on the empty white space of the Database window can lead to Relationships.

        If you right-click on the edge of the window, you’ll find a link to Access database properties, startup activity for the current database, or open a new database.

        Right-clicking on the Database window also lets you configure the items in the Groups bar.

        Private Character Editor

        Windows XP has its own, hidden, character creator, called the Private Character Creator .

        Using Private Character Editor (PCE), you can create up to 6,400 unique characters (such as special letters and logos) for use in your font library. PCE contains basic tools for creating and editing characters, along with more advanced options.

        If you want to create a new private character using an existing character as your model, you can copy the existing character to the Edit grid and then modify it to suit your needs, or you can display the existing character in a Reference window alongside your Edit grid for use as a visual reference. You can use any character from any font that is installed on your computer.

        The Private Character Editor is accessed at Start>Run and enter “Eudcedit” without the quotes.

        After you have constructed and saved the design of your choosing, you can access it from the Character Map by selecting Start>Run Charmap“.

        Drop the Font selection list down and choose All Fonts (Private Characters), then click on the character you have created, copying and pasting it into any document.

        Hermann Zapf designed some of the 20th century’s most important fonts, including Palatino and Optima. He also produced a collection of decorative symbols called “dingbats”, modeled after the accidental lead drippings collected by old style typesetters.

        Here is a collection of tips about how to display information in Headers and Footers.

        Field codes are demonstrated. Remember that the brackets {} must be inserted with Ctrl+F9, not directly from the key board.

        Here’s one suggestion

        Display the word “more” at the bottom of every page except the last page.

        Insert an “if” field into the footer.

        The field in this case will be a compound entity that consists of two fields nested within a third field.

        1. Position cursor where you want the field.
        2. Press Ctrl+F9 to insert the field braces.
        3. Type the field expression as it appears below, using Ctrl+F9 and arrow keys as needed to keep text within the various braces as you type.

        4. Select the entire expression.
        5. Right-click the selection and choose Toggle Field Codes.

        If you have a need to protect the contents of your email messages, these links should point you in the right direction.

        Outlook 2003 supports the following features for cryptographic messaging:
        Digitally sign an e-mail message. Digital signing provides nonrepudiation and verification of contents (the message contains what the person sent, with no changes).

        Encrypt an e-mail message. Encryption helps to ensure privacy by making the message unreadable to anyone other than the intended recipient.


        There are additional features that can be configured for Outlook 2003 for security-enhanced messaging, if your organization chooses to provide support for them, including:

        Sending an e-mail message with an S/MIME receipt request. This helps to verify that the recipient is validating your digital signature (the certificate you applied to a message).

        Adding a security label to an e-mail message. Your organization can create a customized S/MIME V3 security policy which can add labels to messages. An S/MIME V3 security policy is code that you add to Outlook that runs automatically to add information to the message header about the sensitivity of the message content. For example, an Internal Use Only label might be applied to mail that should not be sent or forwarded outside of your company.

        While a few of us may be guilty of constructing databases on the run, and then trying to clean up the mess later, the wise ones plan ahead.

        What information will you need in the future? What reports are going to be requested? If you’re the bean counter, do you need to count all the legumes?

        “Data modeling is probably the most labor intensive and time consuming part of the development process. Why bother especially if you are pressed for time? A common response by practitioners who write on the subject is that you should no more build a database without a model than you should build a house without blueprints.

        The goal of the data model is to make sure that the all data objects required by the database are completely and accurately represented. Because the data model uses easily understood notations and natural language, it can be reviewed and verified as correct by the end-users.

        The data model is also detailed enough to be used by the database developers to use as a “blueprint” for building the physical database. The information contained in the data model will be used to define the relational tables, primary and foreign keys, stored procedures, and triggers. A poorly designed database will require more time in the long-term. Without careful planning you may create a database that omits data required to create critical reports, produces results that are incorrect or inconsistent, and is unable to accommodate changes in the user’s requirements.”

        Yes, now we can add Iraq to the evils perpetuated by PowerPoint.


        “Not only is it easier to throw together a stack of PowerPoint slides than it is to write that 10,000-word document, it is much easier to leave out or gloss over parts of the project that might not survive close scrutiny if they were described in complete sentences. Can you say “weapons of mass destruction?” If we cut to the heart of this current controversy about whether Iraq really had WMD, whether the U.S. honestly believed Iraq had WMD, and who got it wrong, I’m sure we’ll end up with a guilty PowerPoint stack. In that stack, you’ll find a slide containing the words “Iraq” and “WMD” but taken out of context, there is no way of knowing what the presenter even intended the slide to mean. Thus, we have plausible deniability through PowerPoint.”

        When a document is formatted with columns, the text is often Justified. This can lead to a messy layout of words and letters.

        “When justifying text in Microsoft Word use the hyphenation feature to improve the look of your page. (Without hyphens). . . unnecessary ‘white space’ is distributed throughout. When hyphenation is turned on the overall typographic color of the page is much more even.         The following macro has little or no practical computing value, but it can add a “way cool” element when a worksheet is unhidden.

        There are three states that a worksheet can be in; Minimized, Maximized, and Normal.

        This macro will gradually resize a worksheet from small to Maximized. The worksheet appears to be growing:

        Put the horses back in the barn

        Word 2003 keeps track of direct formatting applied to a style. This can lead to what has been referred to as “runaway” styles”. Pre 2003 you could find styles by using “What’s This?” (
        Shift+F1
        ) and pointing at the text.

        Word now has Format>Reveal Formatting in a task pane.
        (BTW, turn on the “
        Distinguish Style Source
        ” option at bottom of task pane.)

        You can no longer update the style using the Style Box. Before, you could make a change, click on the style in the Style Box on the Formatting toolbar and receiving the Modify Style dialog.

        To go back to the ways things were in the good old days and help defeat runaway styles, go to Tools>Options.
        On the
        Edit
        tab, uncheck:


        Keep track of formatting

        Allows Word to keep track of your formatting as you type. This enables you to easily apply the same formatting elsewhere.

        Prompt to update style

        Specifies that Word prompts you when you directly modify text that contains a style and then select the same style again. When prompted, you can either update the style based on recent changes or reapply the formatting of the style.

        More than one copy of Contacts can be produced when, for instance, a user synchronizes a PDA with Outlook.

        Microsoft has a cash reserve of about $50 billion. The money was accumulated over time by, among other things, selling software.

        They don’t work for peanuts.

        I would like to introduce Fr. Simon Rundell of the Parish of the Holy Spirit, Southsea, Portsmouth, England.

        He offers a tool to delete duplicate entries in Microsoft Outlook. Calendar items, Tasks, Contacts, notes and mail folders.

        He doesn’t work for fruitcakes.

        If you have left the personalized menus enabled, you don’t have to wait the default amount of time before you can access infrequently used features. Instead, you can display a full menu by double-clicking the menu name when you open it.

        If you dislike the new menus, which initially show only the most recently used menu items, you can revert to the standard menu behavior. Right-click on the menu bar and choose Customize from the shortcut menu. Then, click on the Options tab of the Customize dialog box.

        Choose either “Always show full menus” or “Show full menus after a short delay“. You can also reset the menus to their original state by clicking the “Reset menu and tool bar usage data” button.

        “Control Panel provides a set of special-purpose administrative tools so that users can configure the Windows, applications, and services environment.         There are two view options for Control Panel: Category View and Classic View.

        Category View displays Control Panel icons according to the type of task that the user wants to perform.

I’m pissed as hell at the amount of marketing junk which is loaded onto computers at the store. At every turn, my grandfather gets pop-up messages from AOL, Netscape, Real Media, Internet Explorer and more. I’m pissed that the desktop comes littered with promotionals for CompuServe and AT&T and Compaq which can be difficult to delete. It makes everything that much harder for a senior whose fingers are shaky, whose eyesight is poor and who has never operated anything more complex than a typewriter.

        Paul Cornell works for the Office Help team. He wrote a short paper on passwords used in Word and Excel:

        Help Protect Word 2002 and Excel 2002 Files with Passwords

        “Your organization may store Word and Excel documents in a central location such as a network server computer. However, you may not want all of your coworkers to have unlimited access to these documents. Setting the files to a read-only status does not prevent your coworkers from opening the documents, and denying your coworkers access to the network folder outright may be too restrictive in your organization’s computing environment. One solution is to help protect individual Word and Excel documents with passwords.”

        Sorry

        Passwords for documents are not, however, truly secure from a determined hacker.

        There is a Knowledge Base article #822924 Overview of Office Features That Are Intended to Enable Collaboration and That Are Not Intended to Increase Security that reminds users that some passwords are not as strong as others.

        For instance:

        “When you are using the Password to Modify feature, a malicious user may still be able to gain access to your password. For example, if you save a word (.doc) file by using the Password to Modify feature enabled in Rich Tech Format (.rtf) a malicious user may be able to gain access to your password.”

        Alterations on the run

        As you work with a form, you will, sometimes, find controls would benefit from minor tweaking. You may want to change the color of a text box, change the font that’s used, or remove scroll bars.

        You may have been told switch to Design view to make changes. However, you can display the property sheets for a control while you’re in Form view.


        To do so, click the Properties on the View menu, Right-click, or press [Alt][Enter].

        As in Design view, the displayed properties relate to the control that is selected on the form. The property changes you make are reflected on the fly.

        You will be prompted to resave your form when you close it.

        You can change Access’s default form.

        To set up a custom template,

        1. Create your template form by specifying all the properties you want to maintain from form to form.
        2. Then, save the form using any name.
        3. Next, select Tools>Options from the menu bar and select the Forms/Reports tab.
        4. Enter your template’s name in the Form Template box to replace the Access default (Normal) and click OK.

        The next time you create a form, Access will base it on your form template rather than the typical Normal template.

        The same thing can be done with Reports.

        (The settings are saved in the Access workgroup information file, not in a particular data base)

        What grade are you?

        Word has a built in tool to determine the level of reading difficulty of a document.

        To see the statistics:

        1. On the Tools menu, click Options, and then click the Spelling & Grammar tab
        2. Select the Check grammar with spelling check box
        3. Select the Show readability statistics check box, and then click OK
        4. On the Standard toolbar, click Spelling and Grammar

        When Microsoft Word finishes checking spelling and grammar, it displays information about the reading level of the document.

        Each readability score bases its rating on the average number of syllables per word and words per sentence.

        Flesch Reading Ease score

        Rates text on a 100-point scale; the higher the score, the easier it is to understand the document. For most standard documents, aim for a score of approximately 60 to 70.

        The formula for the Flesch Reading Ease score is:

        206.835 ? (1.015 x ASL) ? (84.6 x ASW)

        where:

        ASL = average sentence length (the number of words divided by the number of sentences)

        ASW = average number of syllables per word (the number of syllables divided by the number of words)

        Flesch-Kincaid Grade Level score

        Rates text on a U.S. school grade level. For example, a score of 8.0 means that an eighth grader can understand the document. For most documents, aim for a score of approximately 7.0 to 8.0.

        The formula for the Flesch-Kincaid Grade Level score is:

        (.39 x ASL) + (11.8 x ASW) ? 15.59

        There are three parts to the Address section of an email message:

        • To:
        • CC:
        • BCC:

        CC used to stand for Carbon Copy, but no one knows what carbon paper is anymore so it is now referred to as Complimentary Copy.

        BCC is for a blind copy. Recipients will not see that stringy pasta list of names.

        When you are putting a database together you often want to switch between views of Access objects to see the changes.

        For instance, you’ll switch the view to examine a Table in Design view and then back to data view. It is can be faster to switch between views using keyboard shortcuts, rather than the View menu.

        Note If you have not created a password reset disk, and you have also forgotten the password for all user accounts, you cannot log on to your existing Windows installation for security reasons. This information applies to starting Windows XP typically, to safe mode, and to Recovery Console. In this case, you must perform a “clean” installation of Windows XP, re-create all user accounts, and then reinstall all your programs.

        If you have installed Microsoft Office 2003 Service Pack 2 (SP2):

        Because of legal issues, Microsoft has disabled the functionality in Access 2003 and in Access 2002 that let users change the data in linked tables that point to a range in an Excel workbook. However, when you make changes directly in the Excel workbook, the changes appear in the linked table in Access.

        Faced with a repetitive task, I often have to make the decision, do I do it by hand again and again? Or do I write or find a macro to do the heavy lifting?

        “Have you ever had a document with ten, twenty, or even 100 images, and then as an afterthought decided you wanted to add a caption to each of those images? This is an easy task through the user interface (UI). All you have to do is select each image, one at a time, and choose Insert, then Reference, then Caption. Unfortunately doing this through an image-heavy document is a boring chore and takes up a lot of time.

        Fortunately, the Word object model lets you to apply a caption to a selected object. An add-in that does this for you is only a small chunk of code away. The sample add-in accompanying this article demonstrates how to do this. It also demonstrates many other details about working with shapes and images in Word programmatically that are useful to know about.”

        You can create a list in Excel of all the folders on a drive and their sizes.
        (The credit goes to Peter Beach, an Excel MVP.)

        Get Folder Size code

        1. Copy the code and open Excel.
        2. Press Alt+F11 and, if necessary, on the Visual Basic Editor menu, Insert>Module
        3. Paste the code.
        4. You could use Alt+Tab to bring the worksheet forward.
        5. Go to Tools>Macros and run the Macro named “GetFolderListing“.

        It may take a little time to complete.

        It also gives you reasons and memory tricks to get it right.

        Not all pens and pencils come with spellcheckers.

        The “i-before-e” rule has more exceptions than words it applies to.

        Some more of those things I’m sure I used to know

        The keyboard combination of Alt+Shift+D inserts the current date in MS Word and PowerPoint. Ctrl+; (semicolon) does it in Excel and Access.

        If you do not like the date’s format, select a different one with Insert>Date and Time and, if you would like to make that permanent, click on the Default button in the lower left corner of the dialog box (in PowerPoint it’s in the lower right corner).

        In Excel, Ctrl+Shift +# formats the entry as day-month-year. Ctrl+1 will display the “Format cells” dialog box.

        BTW, the “hash, pound or number” sign # is also called an octothorpe.

        The person who named it combined Octo for the eight points and Thorpe for James Thorpe.

        “Bell Labs engineer, Don Macpherson, went to instruct their first client, the Mayo Clinic, in the use of the new (touch tone phone system). He felt the need for a fresh and unambiguous name for the # symbol. His reasoning that led to the new word was roughly that it had eight points, so ought to start with octo-. He was apparently at that time active in a group that was trying to get the Olympic medals of the athlete Jim Thorpe returned from Sweden, so he decided to add thorpe to the end.”

        While we’re at it, the “backwards P, Enter mark” is actually named a pilcrow.

        The pilcrow was used in medieval times to mark a new train of thought, before the convention of using paragraphs was commonplace.

        Previous versions of Outlook can handle PST files just this side of 2 GB (1.82) and Outlook 2003 can go up to about 20-30 gigs with the new MSUPST format. However, very few administrators are going to allow users to save anywhere near that amount of information.

        Outlook 2002/2003, users do have a tool to managing the size of their mailbox from within Outlook:

        1. Go to the Tools menu
        2. Select “Mailbox Cleanup

        This dialog includes quick links to find large items of a chosen size and items older than a selected number of days. You can view the size of folders, fine tune AutoArchive and empty the deleted items folder.

        No need to reinvent

        When setting up a database, you may find that there is a table structure in another database that would be appropriate. You could Import the table, but then you have to clear out the useless records.

        Here’s an easier way to do it:

        1. Choose File>Get External Data>Import from the menu bar
        2. Select the database that contains the tables you want to copy and click the Import button.
        3. Select the appropriate tables on the Tables sheet
        4. click the Options button, select the Definition Only option and click OK

        .

        To export a table definition from your current database to another:

        1. Select the appropriate table in the Database window.
        2. In Access 2000 and above, choose File>Export.
          (If you’re using Access 97, choose File>Save As/Export, select the To An External File Or Database option)
        3. Click OK.
        4. Now, regardless of version, select the target database and press Enter

        When the Export dialog box appears, select the Definition Only option button and click OK.

        There’s a hard way and an easy way.

        Sort of hard:

        Balloon pop-ups typically appear when new programs and hardware are installed, when disk space becomes limited. If you do not want balloon pop-ups to appear, you can prevent them by setting values in the registry.

        1. Go to Start>Run, type Regedit
        2. In the Root list, select HKEY_CURRENT_USER
        3. Find Software\Microsoft\Windows\CurrentVersion\Explorer\Advanced
        4. For EnableBalloonTips, the value 2 enables balloon pop-ups and the value 0 disables them.

          For Start_NotifyNewApps, the value 1 enables balloon pop-ups and the value 0 disables them.

        5. Click OK

        Note When EnableBalloonTips is disabled,
        enabling Start_NotifyNewApps has no effect.

        Excel does not have “relational” tables like database applications such as Access.

        You, however, can make use of database functions including the ability to look up values in a table based on a value.

        You could, for instance look up a salesperson’s records based on an employee ID.

        Incase you needed any help, here are some suggestions about how to develop really bad presentations.

        “Of course, there comes a time when the PowerPoint amateur discovers two very dangerous tools indeed. Custom animations and slide transitions have recently been classified by the UN as ‘weapons of mass destruction’ and cited at the War Crimes tribunal in The Hague on more than one occasion. As far as both of these tools are concerned, my advice is the same: pick a style and stick to it.

        Potentially there is boredom if every slide element skates in from the right or fades in from the background. It might be tiring for each slide to segue into the next using a diagonal wipe. But if the alternative is a dizzying combination of mismatched zooms, shrinks, checkerboard wipes and pirouettes then boredom is a very small price to pay.”

        Fit people into the right peg hole

        Go to View>Arrange by>Current View and select by Category.

        You can create a new Category and then just select Contacts and drag them into the right slot.

        This technique works with any Outlook item for many Outlook fields, including Private and Company but won’t work on fields that aren’t editable. You can use it to add Categories but not remove them.

        1. Make sure at least one item has the new field value.
        2. Create a new view or edit one of the existing group by views to group by the field you want to change
        3. Apply the view.
        4. Select one or more items from the other groups and drag them to the new group and drop.

        Another way is to:

        1. Go to Start>Run

        4. On the right pane, look for ‘RegisteredOwner’
        5. Right click the RegisteredOwner key to edit it

        This trick has been around for awhile, but it might be forgotten as new information in the right ear shoves old knowledge out the left.*

        If you hold down the ALT key while selecting in a Word document, you can select a block. This could be a vertical area, such as the prefixes of a list.

        The selection can then be formatted or deleted.

        The Advance Fee Fraud (AFF) is known internationally as “4-1-9” fraud after the section of the Nigerian penal code which addresses fraud schemes.
        (BTW, it is pronounced 4-1-9, not four-nineteen.)


        You’ve most probably been approached via email to help some poor soul smuggle millions out of some war torn province in return for a generous finder’s fee.

        “A renowned psychiatrist from UC Irvine was duped into squandering at least $1.3 million of his family’s fortune on a Nigeria Internet scam, according to a lawsuit recently filed by his son.

        The son, also an Orange County doctor, said his father – Dr. Louis A. Gottschalk – gave as much as $3 million over a 10-year period in response to an Internet plea that promised the doctor a generous cut of a huge sum of cash trapped in African bank accounts in exchange for money advances.

        Gottschalk – who at 89 still works at the UCI campus medical plaza that bears his name – said in court papers that the losses were caused by “some bad investments.”

        Guy Gottschalk is asking a judge to remove his father as administrator of the $8-million family partnership that was set up for tax purposes after the death of his mother in 1993. A hearing is set for March 14.

        The suit alleges that Louis Gottschalk destroyed bank records to cover up the amount of his losses.

        “While it seems unlikely, even ludicrous, that a highly educated doctor like [Gottschalk] would fall prey to such an obvious con, that is exactly what happened,” wrote Guy Gottschalk’s attorney in court papers.”

        Using Month Numbers

        If you display a crosstab query as a datasheet, consider using a month’s or day’s number as a column heading instead of a text abbreviation (e.g., 1 instead of Jan or January, or 2 instead of Mon).

        Text abbreviations are sorted alphabetically. Apr appears before Feb, Mon appears before Sun, etc. Number representations will sort in their proper order.
