Word doesn't connect to Excel database

By herbvega ·
When setting up the Excel database on a mailmerge document, Word gives the following message:
"The task is taking longer than expected. Do you want to continue waiting?"
If I say yes, goes aganin for few minutes. If I say no, I get the following error:
"Word could not re-establish a DDE connection to Microsoft Excel complete the current task"
I have uninstalled Excel and reinstalled but it didn't fix it. If I use Word database the mail merge works.

Word doesn't connect to Excel database

Have you given a NAME to the portion of the Excel spreadsheet that you want to open in Word as a database? If not, and if there are no "named areas" at all on your spreadsheet (such as the Print_Area), then Word will probably try to open the ENTIREspreadsheet, which is taxing your RAM or other system resources.

If you haven't named the area in Excel, and if you don't know how to, open the Excel file you want to use as a database and select the range of cells you want Word to use. Go to the INSERT menu and choose NAME and then DEFINE. Type any name for that area (with no spaces in the name) that you want... and press OK. Save the file and close Excel.

Then go back to Word and start the MailMerge, choose to select your DATA SOURCE, and when you select the Excel file, you should get a window that opens asking you if you want to use the "Entire Spreadsheet" or some other named area that will appear in a list box. Choose the named area that you just finished creating in that Excel file. It should be easier for Word to open it.

Hope this solves the problem. You were probably getting that message ("The task is taking longer than expected") because you were using up your memory trying to open a huge spreadsheet instead of just the range of cells you needed.

Hope this helps...
