Hardware management

I manage 300+ users and we have +- 50 laptop users. I order about 3 laptops a month for new users. I would like to know what would be the easiest way to manage these laptops. I need to know who has what laptop etc. Also the security head wants this info as well. How can I manage and update changes the best way?
