Multiple notifications in inbox for each

We are using Outlook 97 and Exchange Server 5.0. Each time the receptionist notifies someone of an appointment it appears three consecutive times in everyone’s inbox and four times on her inbox. How do I fix it to only notify one time?
Any help will be much appreciated,
