Software evaluation methodology

We are currently in the process for evaluating an open office solution for our company. We will be building a pilot for evaluation.

Can someone please help me out and tell me if there are any formal or effective methodologies to carry out proper evaluation. We were thinking of using a cut down version of the ISO 9126 but we are open for other suggestions
