Microsoft Outlook Offline Profile

I need urgent help in the following. I am having trouble setting up offline folder for the laptops in my office. We are running Exchange Server for our interoffice e-mail and what to be able to access away from the office. I follow the steps in the Outlook book but everytime I create a profile for offline I get the following message when I try to open it: Unable to open your default e-mail folders. You must connect to your Microsoft Exchange Server computer with the current profile before you can synchronize your folder with your offline folder file. If someone can tell me what I am doing work as well as give full instructions on how to make this work I would appreciate it.
