What matters when it comes to copy and print management?

From differences in copiers/MFP’s to comparisons between service providers, a simple question seems to get more difficult the further I dig.

My initial thoughts on this hinges on scalability and functionality of devices, while certainly not leaving out cost, however as companies strive to pack more into each device it almost seems that the availability of service contracts, and who is offering the most becomes more important.

Things like 1 click charge on 11×17’s and no shipping charges for toner, quickly become positives, while the standard pre-billed maintenance moves into being considered a negative.

With the need to identify cost savings while at the same time offering OCR, and rapid service turnarounds, the variables quickly pile up, indicating a need to prioritize whats inmportant in the realm of copy/print management.

What are your thoughts, and what advice can you offer to small/mid size businesses leveraging print management service agreements to maintain copy/print solutions?
