Exchange / Outlook Mailbox Policies

At present we use Microsoft Exchange 2003 and Microsoft Outlook 2003 client.

The issues we are experiencing at present is that our users are using Microsoft Outlook / Exchange as a file system.

This raises concerns from a Management point of view, as shown below:-
What happens if we loose a users mailbox due to corruption or mails being delete by users. (No record of any communication between Equity Trust and the client)
Management overheads (Management of Exchange)
Security (Everybody has access to everybody else's mailboxes)
As off last month, every new users which is setup on the system has a mailbox restriction set. Max mailbox size is 100 MB, user gets message at 80 MB to tidy mailbox.
How can we implement Microsoft Exchange Policies, best practices etc.

It all depends on the capacity of your Exchange server.

Some has a limit of 500 megs while others have 2 gigs per mailbox.

If you wanted to keep a copy all emails to your employees sent to a folder under public folder, you can do that, but then again, it will be limited with how much your server has interms of disk space.

Also, backup your exchange server everyday.
