Filter Birthdays..

I have a database that simply stores information about each employee. My boss ask me to generate a report that he can run monthly to notify him of all employee birthdays, children birthdays, anniversary dates of marriage and hiring date. All the information is in the table, can someone please walk me thru the steps to pull the information out and notify him in this report. Thank you very much if you are able to help or tried.

What kind of database? This can be done easily in Access or Excel.

In the main database window ... where you can see tables, queries, forms, etc ... click on reports and then double click create report by using wizard ... pick the table you want the report based on, choose your fields, how you want things grouped, if you want it sorted by employee ID or last name, and then give the report (each month's) a name. So you will basically make 12 reports, one for each month. Hope this helps.

Or, if you only want to make one report, you could add another field in your table labeled "month" and group the different dates by month (will make more sense once you get in the wizard)

I understand what you are asking now ... before creating the report run a filter which will only leave those employees who have a birthday, anniversary, etc during that month ... then create a report with the fields you want and only those employeesleft after the filter is applied will show up in the report ... hope this helps

I know I can produce a report that list each employee by last name but the key to my problem is I only want the employees with a birthday, aniversary date, extc.. to show up in the monthly report. Thanks for the input if you can help me any further it would be greatly appreciated.

I suggest the following:
OPTION 1 PRINTED REPORT
1) Add the field "month" to your Data base.(1,2,ecc)

2) Make a simple table in Word with headings and one empty row with the information you want in the report( NAME , TYPE OF ANNIVERSARY, DATE , ETC. )

3)Insert in the tabe row the field NAME.

4)Use the "Mail Merge" function in Word to read the data on the database.And to combine it into a "Catalogue"


5)Run the mail merge with the filter value set at the month you desire and You will get in Word the report you need.

6) The whole operation can be executed by a simple Macro recorded in Word, you can record yourself, and run every month.

I'm sure that is possible to import you data base inOutlook and use the Calendar function there.
I'll check and reverd tomorrow.

I tried and it works,

First create a Calendar folder in Outlook with few data , as an example, than export it in Excel to verify the field content, name, sequence, format etc..

Than modify, add data and import into a new Outlook Calendar Folder.

IT WORKS PERFECTLY
(Window XP + Office XP).

Only pay attention to the format of dates, hours etc.

I think that the resulting report is the most effective, you can get.
