How to backup Outlook email w/ attachments

I work with a small business and have been trying to incorporate a network for safety, security, and back up reasons. As you understand the boss wants to be as cost effective as possible. I just want to start out backing up email, since they have had 'loss of email' problems before. We use MS Outlook (thats what they know how to use) on 5 computers networked together with Windows XP Professional sp2. (1) Outlook 2003 (3) Outlook 2002 and (1) Outlook 2000. I need some easy quick solutions to be able to back up all their email along with attachments (attachments are important) to an external hard drive weekly. I will be doing the back ups since management doesnt understand what to do. I dont understand why MS made this function so hard to do. Where does Outlook store all the attachments anyway? It would be real easy to just copy this folder to the External HD but the file is really hard to find and a lot of the attachements are not in the folder. What's the deal? Any help would be gladly appreciated.

Do a search for the .pst file. Gran that and backup to external HD. That should get everything you want, including emails, contacts, and attachements.

In C:\Documents and Settings\user name\Local Settings\Application Data\Microsoft\Outlook folder you find a file: Outlook.pst. This file contain all the Outlook mailbox, the mails with attachements.

Also you can archive from Outlook File->Archive you select the entire mail box and the date before you want to archive. The archive file is in the same location, and his name is Archive.pst

We setup a Red Hat server running Samba and RAID 1 for this type of backup. We set up a share for each user and then mapped the drive on each box. Then we moved the .pst file to reside on the share. Every night all of the shares (the RH /home directory) is copied to another server as an incremental backup.

You can backup all email that travels through your email server at the network side of the server. This might be handy if you need to keep data for SOX compliance.

BTW the .pst file that the user saves all this email in will not work in versions prior to 2003 if it gets larger than 2gb. This is easy to do if you are saving large attachments (lots of PDF, JPG, or movie clips) .
