Microsoft Word: Data Entry Format

By jcade4 ·
We have a multi-page document set up with questions for folks to printout and then write answers to questions. How can I make this a document that will allow the folks to type in their answers without changing the format of the document -- only want them to be able to enter the answers. Hope this makes sense!

Microsoft Word: Data Entry Format

The easiest way to do something like that is to forget underscores and tables. I would just type the questions like this:

1. Question number one?

2. Question number two?

Leave them enough space to know where to put the cursor and start typing. I have tried this many different ways. This simple format keeps the questions away and most people do delete extra lines.

But if you really want to have some sort of control. You could add a 2 column table. Use the first column for thequestion and the second column for the answer and label it that way. Maybe even make it lanscape so the Q&A's don't look scrunched.

Open the Forms toolbar in Word.
Place text form fields in the areas adjacent to the questions you are asking.
Format the text fields by right-clicking the field area.
Once you have formatted your questionnaire, lock the form and save it as a template (*.dot).
The user can then run the template (File>New) or you can set the template up as a macro button on a toolbar.

Hope this helps!

I create fill in forms all the time for our firm. (Word97)

1 - type the text

2 - Wherever you want people to type in answers put in a text form field (View, Toolbars, Forms, click first button for text form field).
(Sometimes I create a tablewith a form field for entry - depends on how much space is needed. You can also choose from different types of fields; you can set up default text; you can create prompts to help the user understand what should be put in the field; you can add yourown Help tips for people - such as, "To get from field to field in this form, hit TAB"

3 - when all fields are inserted, Protect the form
(Tools, Protect Document, Forms)

4 - save your document as a template (File Save As, depending on your firm's environment)

Note: Depending on the use of the form, I sometimes write code into the last form field to Unprotect the form, so if the users can edit the other text/modify as needed.

Hope this helps -
