I’m investigating how best to centrally manage and schedule Out of Office (OOO) messages for staff in a Microsoft 365 environment.
We currently use a third-party email signature management service. However, it does not support automatically applying signatures to Microsoft 365 automatic replies. Its suggested workaround is to copy and paste the signature into the OOO template, but the native Outlook automatic-reply editor has limitations with HTML, images and formatting.
The aim is to automatically enable standardised OOO messages during designated holiday periods, ideally including personalised staff details, contact information and organisational branding.
I’m exploring the best way forward and would appreciate advice on the available options.
Is there a reliable way to achieve this while retaining the existing signature management service?
Would switching to an alternative signature management provider be a better solution?
Could Exchange Online PowerShell or another Microsoft 365 solution be used to generate, schedule and manage complete OOO messages, including HTML formatting and images?
Are there any other products or approaches worth considering?
