Problem printing MS-Word large document

We are trying to print a large merge document where the first page of each of the 2 page letters is printed on letterhead and the second page is printed on blank paper. We are using Canon C6800 multifunction printer.copier/fax.

Help would be greatly appreciated. We have 1500 some letters to print from four different Word documents.

Well for starters you don't have a multi function printer you have a fully fledged Photocopier so things will be much easier.

You can place the letter heads in one paper bin and plain paper in another and program the Photocopier to chose the different bins as required.

Or alternatively you could just use the Letter Heads and duplex the document that would save paper and the need to staple but might not be what you want. The Image Runner that you have is capable of doing all of this and much more as well.

You could also incorporate the Letter head onto the letter and just print to plain paper as you have a high end Digital photocopier the output will be excellent.

To do a Mail Merge you need to create fields in the form letter and then populate the forms once the letter is finished. You generally gather your individual Data from a D Base Program and you chose which fields to print on the letter. If you look up the Help section of Office and ask for Mail Merge it will tell you how to perform this operation which was something that was considered as less than basic in the DOS days and you couldn't get a job if you couldn't do much more than this. Now Days however it is not taught at the colleges as it's considered as above Advanced Office usage.

This is all well and good. However, I know that I am supposed to be able to do what you have described. My Word document is not working properly with the Canon. We have been unable to make the settings do the alternate bin selection. The example document has 1498 pages with two pages per letter. The merged document is doing section breaks after the first page and second page of the letter. This is being done for formatting reasons that are unknown to me at this point. I am not the letter's author. The document only has one section break in it but when the merge to a new document is done, the second page has a new section break added to change the format back to match that needed by the first page. Several text boxes that are visible on the document are not printing when the merged document is created.

I hope you can understand our frustration with this. We have even tried print odd pages and even pages separately with no success.

It's pulling hair out time!!

OK your problem here is WORD it's not the greatest thing since sliced bread and is causing your problems here.

Try this out to see if it works down the trial Version of Corel's Word Perfect Office X 3 from

Install the application and then open it in Word Mode You'll see what I mean when you open it as you are prompted on how you want it to display and perform the Mail Merge in Word Perfect that should fix your problems and at the same time show you how a real Word Processor works.

You could also open it in its Native Mode and just import the Word Docs and do the mail merge that way but I think that you'll be more familiar with the Interface provided in opening it as Word.

What I think you'll find is happening here is that the entire field is being imported from your D Base and that is throwing the formatting out and preventing the graphics from being printed as well.

If you are not duplexing the letters would it be worth while just printing off the second page if it doesn't have any merge fields on it and then just telling the Canon to print the first page of the merge that may solve some of your problems with the formating and lack of Graphics printing. You could stack these in the Bypass tray and chose to draw the second page from there
if you are using the stapler in the finisher to staple the pages together or if you are not doing that you could just collate than on the fly and put them in envelopes as the first page comes out of the photocopier.

OF course if you have graphics on the first page they may not print but it might be worth a test run on a page or 2 to see what happens.

I plead Guilty here I don't use MS Office at all other than to have a spell checker in my E-Mail program I'm still using Word Perfect which all my staff derided me about when I set this palace up and now they are all using WP and ignoring MS Office it just works the way that it's supposed to unlike most of the MS Office programs.

You could also check for newer printer drivers for the IRC as the 3100 that I use allows you to chose different bins to take the paper from when printing from the computer, or check that the entire Printer drivers have been installed the IRC series has a complicated driver setup which isn't overly easy to get right even though it works when not completely installed but it lacks some of the more advanced options like being able to chose different bins to take the paper from during the printing of a document.

Lets know how you get on.

Well, we have been able to complete the print job by moving to a different printer that is an HP LaserJet 9050 PCL 5e. It has been running for several hours and is currently hung because it ran out of paper in one of the trays. More paper has been put into the tray but the printer still has not started printing again. The status display says it is restarting. What gives?
