adjust disarranged files in the file server

Hi all

I am now supporting architecture office in Tripoli; recently I asked them to adjust their files structure in the file server. As I am system administration, their disarranged file makes many problems such as duplicate files, low hard drive capacity, difficulty to backup their data and to find the files.

Is there any recommendation from you as technical peoples, which help me to advice the office to structure their files and folders?

Plan your File Directory Structure and get it into a viewable format along with the old structure. Highlight the new features that you would like to incorporate and the reasons for the changes. Example: Speed of access, increased staff performance, less overheads on the file server.

I know where you are coming from as I have faced the same problem. I actually did a dir on the directories and saved and manipulated the old files using notepad into the new structure for my example. It took me awhile to do it but it was worth it. When they compared the Directories and File names from the old to the new and they saw the benefits I had no problems implementing the changes.
