create dependendent drop lists in excel

By thekays ·
I am trying to create a number of dependednt drop lists in excel. 3 maybe 4. What i need is for each to be dependent on the previous with a description of the product to be shown in a chosen cell after relevant selections have been made. For example if list one is modes of transport ( eg car boat etc) and car was selected the second list should show makes ( eg ford) and the third list model. After that maybe price or desription based on info somewhere else in the workbook should be shown.

Hi!

in another worksheet (which I call "Validation_Lists"), create your lists. Ex: A1-G1 is a list of modes of transport (car, boat, train...) B1-H1 is a list of car maker, C1-J1 is a list of boat maker, etc... Select the list A1-G1, press Ctrl-F3 and name it "Modes". Select the list B1-H1, press Ctrl-F3 and name it the exact same name as the first item in the first list (which should be "Cars"). Select the second list, Ctrl-F3, name it the exact name of the second item and so on. You should have a list named after each item of the first list.

In your first worksheet (the one you want to create your drop lists in) select the cell you want your first drop list in, click Data, Validation, in the Authorize drop list select "List" check the second check box on the right and write "=Modes" in the Source box.

Select the cell you want a dependent drop list in and click Data, Validation, select "List", check the second check box and in Source, write "=INDIRECT(#)" where # is the name of the cell containing your first list.

This works as long as each named list (Ctrl-F3) is named after an item in the previous list in the hierarchy. Email me and I'll send you a sample file.

Dependant drop down lists in Excel

by scasey In reply to

Hi, I would be very grateful if you could send me a sample file. Also I don't quite understand, if A1 to GI is filled horizontally with a list. How can you start a new list in B1?
I'm trying to do dependent lists. i.e. Choose a Dept, then choose people from that dept etc.

Please help. Your thread was the only thing that even vaguely made sense when googling this.

Thanks

Dependant drop down lists in Excel - Example

by mimihb2 In reply to Dependant drop down lists ...

Hi there -
I was working on creating some drop down lists in excel where the values displayed in the drop down lists would be dependant upon the user's selection in a previous drop down list. I used the excel help to find out how to do it and was successful, but it is a little time consuming. So, I searched to see if others had found a more efficient way to do it and found this string. Basically, my method is the same as the method described above... So, at least it seems I must be doing it correctly! Anyway, if you are still interested in this topic, let me know. I can send you my file once it is finished... probably later this week. Let me know if you want it and I'll send it along.
