Customizing Sent Items in Outlook

By bbarthol ·
We are using Outlook 2000 and our Business Development group would liek to set there PCs so that ALL mail they send to their existing clients show up in the clients Inbox in a particular color, while ALL mail they send to potential clients show up in the potential clients Inbox another color.

I have tried several options but none of them seem to work all the time . . . any ideas are welcome.

Customizing Sent Items in Outlook

This is a pretty tough thing to do, since the appearance of the Inbox in most email clients (including of course Outlook) is highly customizable. The thing that would probably work in most cases would be to send the mail in HTML form instead of Rich Text. This still might fail in some instances; if the client company is highly security sensitive they might even have set their email server to strip out or quarantine HTML emails or deliver them as attachments instead of directly as email content. However, I think this would probaly be the best bet overall. Hope this helps!

You might try creating a custom form for the existing clients and one for existing clients. Then when they compose their message they first choose the correct form.

Check out the Outlook help for information on creating and using custom forms.

This is an organizeation feature in Outlook for Incoming Mail. As the previous answer points out, you can send rich text or HTML for that matter by using stationary. This assumes that your clients recieve HTML or Rich text emails. That is a bad assumption. I worked for a company that sent thousands of emails a day and people use everything under the sun from plain text to HTML. Many companies only accept text. Don't confuse the incoming mail options in Outlook with outgoing mail options.I have to say that it cracks me up what some execs want to do "for the customer" (send all email in blue). Do your prospects know they are prospects because they get messages in green? Ever read dilbert, sorry (couldn't help it).
Hope this helps.
Good Luck!
