    Exchange 5.5 E-Mail Forwarding

    Locked

    by mike.brooks ·

Shortly I will have a situation where our company rep’s will be out on the road with laptops and an ISP account different to the one that we use at head office. I can set up an Exchange account for each of these reps and would like to then forward any e-mail hitting this account onto there e-mail address with the ISP that they are set up for.

So for example Tim.Robson@sia-abrasives.co.uk setup on our Exchange server at work automatically get’s forwarded to Tim.Robson@globalinternet.co.uk

How can I achieve this. I may need to be walked through gradually as Exchange experience is not hot.

If your clients are using Microsoft Outlook, this can be very easy. The “Out of Office Assistant” under ” the “Tools” menu in Outlook will allow you not only to forward the message to the ISP e mail account, but it will also allow you to notify the sender that the message has been forward and you can also filter which messages will be forward to the ISP account. This is great for keeping the client from having to download large attachments while using a dial up connection. Remember to set up forwarding, you must create a “rule” to do so. On the Out of Office Assistant screen (Outlook – Tools – Out of Office Assistant) click on the “Add Rule” button. On the “Edit Rule” screen, fill in the appropriate information, remembering that leaving a field blank is equal to “no restrictions” . I would recommend configuring a very general rule first, to make sure it works, and then refine it.

We have similar situation as you are about to be in. That is mobile users wanting to access their Exchange mails thru their own ISPs thru the internet.

Instead of using mail-forwarding, we use Exchange’s Outlook Web Access (OWA) feature which will allow your users to directly access their Exchange mails thru Internet browser.

When you are dealing with corporate data and confidentiality; you have no control at all on reps’ mailboxes on their respective ISPs.

Maybe you ought to re-consider foe OWA instead.

Below is the text of an answer to a similar question. This would be the prefered method if your users do not have an “internal” Exchange account. If your users have exsisting Exchange accounts and you want to easily forward “all” incoming email for a time, then you would need to do the following:

You would need to remove the SMTP address “Tim.Robson@sia-abrasives.co.uk” from the account. Then create a custom recipient with that address in the “E-Mail Addresses” tab. On the “General” tab click the “E-mail” button and enter the SMTP address of the ISP account (Tim.Robson@globalinternet.co.uk). All email addressed to the first address will now be automatically forwarded to the second. Internally sent mail will need to be addressed to the Custom Recipient account.

There is one other way for the users to get their email without having to create the custom recipient, or using OWA. On the laptop install Outlook Express and create a email account with your Exchange server as the incoming server, i.e. “mail.
