Hacker intruded My friend’s Co’s PC

Dear experts,

Case 1
======
I have a friend whose company has just been hacked yesterday. Their computers are all networked and using broadband for internet.

On 17/8, one of the computer received and opened an email attachment. Then, they have discovered that all their documents in the “My document” folder were sent out via their email addresses in Outlook Express.

Is there any method of preventing this to happen again? What would be the cause of being hacked?

Case 2
======
For my company, I also had a similar experience that our email account cannot login one morning! (as I would login to check email every morning.) Therefore, I called our ISP and they had checked that some party was online – using your email account!It took me about the whole morning to check with our ISP and they said they could not trace who was using your email A/C and they didn’t give me a solution. Finally, I thought of a solution that was to change our password and cut the old password immediately.

But I would like to know was this a kind of hacker’s behaviour? Is there any use or relationship for switching on the Anti-Virus all the time for this case? How can we prevent from this to happen again?
