How do license's work

We are just now seting up an NT netwworkn and I would like to know how licenses work?
when are they actually used. Example I have outlook on my pc and the calender and data are on the server. When exactly does the license kick in? Is it when I connect or when I am actually optaining data.

on outlook the license kick in when you open it for the first time.
To open the data on a server if its just data in a file sharing format then the only license you need is to access the server either thru per server license or per client license.If on the other hand you connect to the data thru Application server such as MS exchange then you must have a client access license for each client connecting to the exchange server in addition to whatever license you have for outlook.
