How to view other user's calendar ?

By wpaez ·
I have Exchange 5.5 on Server and Outlook 2000 on Clients.
The mailbox of the users are on personal folders.
I want to allow a secretary to to see her boss's calendar.
This is what I have done so far:
- On the boss's outlook Delegate Access to the secretary (Menu Tools|Options|Delegates).
- On the secretary outlook tried to open the calendar folder (Menu File|Open|Other Users's Folder) but it doesn't find the folder.

Is it because the calendar folder is on personal folders(.pst files)? If I have to have the calendar on the server, how do I transfer it? How will it work if the boss is offline?
What have I done wrong?

Thanks for any info.

You need to give the secretary permission, not necessarily delagate access.

In the folder list, right-click on the caledar folder (or other folder) you want to share, and select properties.
Click ther Permissions tab. (You will not see this tab if you do not own the folder.)
Click Add.
Locate the secretary in the list, highlight the name, and click the Add-> button.
Click OK
You are now back at the permissions tab. Highlight the name you just added and check the permissions for the permissions you want this person to have. Note that if you do not include "Folder visible" the person will not see the folder.
Click OK.
The person should now be able to open the folder.

Good luck.

I copied the boss's calendar to the server, delegate access to the secretary and gave permissions as editor to her on this folder.
Didn't work. When I open with other user's folder I get the error "cannot display folder".

For this to work you will need to have the boss calendar on the Exchange Server and not in a PST. Here is what you should do-
1) On the bosses services properties, set the delivery point back to his mailbox on Exchange.
2) From Outlooks file menuuse the import/export utility to import the bosses pst back into his mailbox.
---That part is done. Your sec can now share the calendar.----
You will now want to configure Outlook for Offline Storage (OST).
From the Tools menu select Synchronize>Offline Folder Settings
Make sure to set the Address Book for Download.
You will then also need to go into the Outlook Options and Mail Services and check the offline synch to synch whenever he logs on and off, and at a certain time interval.
Thatshould do it. Whether he's on or off the network, Outlook will look the same for him.

I translated the delivery to the server and did what you told me and worked!
Thanks!

Also, having the boss's calendar on the Exchange server will allow the secretary to view it anytime, whether the boss is on or offline. This is because the mailbox information is all kept on the server, and not on the client. (.ost files are simply offline copies of the mailbox store, and they reside on the client.)
