Keep copy of emails on Exchange Server

By Bhrdwh ·
We have Microsoft Exchange 5.5 Server & use Outlook 2000 as its exchange-client & Outlook Web Access (OWA) to send / receive emails.
Is there a way I can save a copy on the server as well allow the user to download it to his laptop ?
At present all emails get downloaded (and removed) to the user's PST file in his Desktop in office. When the user is outside office & logs using OWA he sees no emails.

Look for an option called "Archive Mail" in the properties of Exchange Server. This is available in Exchange2000, not sure of 5.5
This tab allows you to assign one mailbox, which will thenceforth contain a copy of all the mails received and sent.
Cheers.

You cannot do both automatically; not with Exchange 5.5 nor 2000.

What I suggest you do is to reconfigure this users Outlook so that the Delivery is to the Mailbox on the Server (in other words the e-mail does not leave the server)... he/shecan still use the PST file for backup. Just tell him/her to select and copy the e-mails into the PST, instead of moving them.

If you have Outlook2000 setup in IMO (Internet Mail Option) then in check under option where it say to leave copies of mail on server.

If you have it setup as CW (Corporate Workgroup) Then change delivery from the PST to User inbox.

Yes. You can keep email on both the server and workstation.

First, make sure Outlook is configured to keep mail in the Exchange mailbox. In Outlook, under Tools -> Services, click the "Delivery" tab. Under "Deliver new mail to the following location", change the option from "Personal Folder" to Mailbox - <User's Name>.

Now you must move the user's mail from the .PST file back into an Exchange mailbox. In Outlook, click File -> Import and Export. Select "Import from another program or file." Then select "Import from a personal folder (pst)." Import the user's PST file back into exchange.

Now you must enable Offline folders. In Outlook, click on Tools -> Services. In the "The following information services are set up in this profile" box, highlight "Microsoft Exchange Server". Click "Properties", and then click the "Advanced" tab. Click Offline Folder File Settings. In the "File" box, type the path to the file you want to use as the offline folder file.

Now go to Tools -> Options, and click the "Mail Services" tab. Click the "Offline Folder Settings" button. Check the folders you want available offline.

Mail will now be stored in both the Exchange mailbox, and in an .OST file on the client's PC. The mailbox and the.OST file will synchronize when the client connects to Exchange, and again when he exits Outlook.
