Mail merge Access linked tables in Word

By wwoods ·
I need to do a mail merge in Word using Access tables that are linked with a one to many relationship. The tables are linked by field(ssn). Table 1 is user information. Table 2 has all boards that a user is a member of. I tried using a query but it returned multi records per user. I need only 1 line per user listing all board names for table 2 in this line.

THis has worked for me.

In Access create a query that contains just the information you need to merge into your Word Document.

Go to Word. From Tools go to mail merge and select the appropriate document. Then select the "Get Data" button and the option for "Open Data Source".
Locate your access file and double click on it. (Word will link to the file. You watch the process in the lower left corner of the Word screen).
A screen will be displayed for you to select either the table you want to use or the query. (You will notice Access is open at the bottom of your screen - don't close it.)
Select the tab for Queries and click on the query you want to use then click on OK.
When the focus comes back to Word, Word will display the toolbar for you to use to insert the fields from the query.

Just continue to set up the document like any other merge document.

Good Luck.
