Merge Access 2000 into Word 2000

I want to extract certain information from an Access database to create a letter in word. How do I do this? How do I take out only the information I need and not ALL of the information. I'm fairly new to Access.

You can do this easily from Word (unless it's a really complex database) without doing anything in Access. Just set up your Word main document, set the data source to the table that contains the fields you need from your database, and then place whatever field variables you need from your Access table wherever they belong in the Word doc. If you do have a more complex database, you can select only the fields you need to work with by creating an Access query that pulls out only the fields you need. Then, when you create your Word doc, link it to the query rather than the Access table(s). If you need further help (like, if the database is really complex), you can email me with info about the structure of your database and I'll try to help you. Hope this helps!

P.S. The mail merge wizard in Word also allows you to set query options like, for example, if you want to send the letter to only those addresses in a certain ZIP code. When merging, click the Query Options button - this dialog box allows you to set criteria for any field that is in the Access table or query (i.e., ZIP=12345 or City="New York").

In Access, with the table in question open, open the Tools menu, Office Links, Merge in Word.
While in Word's merge functions, you have query tools to limit or filter. While rudimentary compared to Access's Query tools, it's easy to use and very useful with a large database file (your Access table).

Here is a step by step on how to perform a mail merge.

Mail Merge
(Form Letters)

1. To access your Mail Merge window, Click on the Tools Menu and select Mail Merge.
? You should already have your form letter open.
2. To Begin: Click on theCreate Button and choose Form Letters.

3. Click the Active Window Button.

4. Now Click the Get Data Button and choose the option you need to obtain your data.
5. Find your data and click Open or go through the steps to create your data.
6. Click on the Edit Main Document Button.
7. Put your cursor where you want to insert your field.
8. Click the Insert Merge Field button on your toolbar.
9. Choose your fields
? Remember to add punctuation, spaces, and returns as needed
10. Now that you have your fields inserted, Click the Merge Button on your toolbar and then click ok.
11. You now have Form Letters!!

The Mail merge is the easiest way to go about what you want to do if your Database isn't too large.

Just double-check your data base b/c once you merge thigns you can't update it. (At least I havn't ofund that fucntion yet) And you'll have to redo the form.
