PowerPoint Org Chart Box Comment Fields

By CTCarroll ·
I use Powerpoint's org chart tool to make structure charts in systems development. I sometimes exceed the 22x17inch limit. I NEVER need two comments but sometimes need one (which results in all boxes at that level making room for two comments. I haven't been able to delete the second comment field. Is there a way I can build a template with only one comment field per box OR modify existing charts?

PowerPoint Org Chart Box Comment Fields

Maybe it is not clear to me what you did. I tried in PowerPoint 2000 to make a chart. If I only add a comment1 and nothing in comment2 I get only one line of comment after clicking in the editor outside the box. Do you get anything else or did you put blank [space] in comment 2? In that case you will get two lines!
If your situation is different clarify it, please.
Good luck.

Kees: I hate to have to "rate" the answer at this point because I realize your response was interim but the system forces it. I am using PowerPoint 97 and have left nothing in <<comment 2>> in any of the boxes. The problem seems to me now to be the fact that, once you establish "filled" lines at a given level, ALL boxes at that level provide for that many lines whether you use them or not.

First of all, I do not believe the system forces you to rate. Unless that possibility has been changed by TechRepublic very recently as well. You as poster could add a comment? As I subscribe to the question I will be notified. Actually the subscription is the most valuable part of the system. In this way I can see if others may have different, sometimes even better solutions for the issue at hand.
Now back to your question. I believe I have solved the issue of only on line. However, I had thesuspicion that you wanted something different than what you asked!
You asked to have only one line. That works. What you probably want is somewhere just one additional line and not having everywhere in the same row an extra line
How to achieve that? As I again have to guess, this is not happening very frequently. So just add [after having left the editor] a text box. Enter your text and change the background colour to the same colour as the other parts. You may have to draw additional lines if you had specified no border line. You always can group the box + the additional lines in order to make movements of the elements more easy.
If this is still not what you want, try to add a comment to your original posting, rather than rejecting this approach to your vague question.
Good luck

I'm sorry my question doesn't meet your standards. Using text boxes doesn't work unless your box is on the bottom because it would cover part of the next box down. In a structure chart the order is not optional

You asked a question: How to use only one line.

I think I have solved that. If I am not correct, please add a comment to your original posting, rather than rejecting this answer.

Your additional question, not the original one is: I want a bigger box on only one place in a row. Is that possible?

NOTE. You did originally not ask for that.

ANSWER Yes, it is possible. However, at a price.

Make your chart in the editor WITHOUT any (additional) comment lines.
Once you have closed the editor, look at the drawing toolbar. At the moment I do not have an English version of PowerPoint available. So I have to guess about the exact wording. At the left there is a button with text, probably the word drawing. Click on that and likely something like ungroup will be available. Once you hit that you will see a rather alarming text that you should not do this [in this case]. Just ignore that and let it be converted. Now you can change every element and move it. You will find out that there is a [green] box, a box only for the borders and two boxes for the text. You can amend and move each box as any object.
You know probably that by holding down SHIFT and clicking an object it is possible to select several objects at one time.
You may argue that this is a lot of work. Fine. If this does not satisfy your requirements I am completely lost.

I would advice you not to reject this answer right away. Rather add comment to you original posting. It is free advice I am offeringyou. However, I would consider it as a personal offence if you would just reject this help as well. If you would have additional hidden requirements, just add these to your posting and I will again react with comment to his answer if I feel that youstill have open issues.

If you want to mail me, put also Q&A in the subject line, else the e-mail message will be deleted.
Good luck.
