Printing problem with 1 document only

    Locked

    by gbrownlee ·

A client has a document created with microsoft works spreadsheet. Until recently, this document printed correctly. The user tinkered with the spread sheet settings and cannot remember what he did.

The problem is, now when you try to print this document, only 1 box prints instead of the entire spreadsheet.

The printer etc. is ok. This one document is the ONLY ONE that will not print correctly.

With the spread sheet open, I went through all the settings, options, etc. To no avail.

Any suggestions you may have regarding a solution to this problem, are appreciated!

    Regards
    Greg

Interesting problem. Lets see if we can narrow the problem down. Can you have the user email you the document and see if YOU can print to another printer? Another thing to try is to copy the data inside the spreadsheet…create a new spreadsheet file…paste the data…and try printing it…and let us know if that works.

        Hello:

Having the user email me the document won’t work as I don’t have the software to open it.
The copy and paste should work, but I tried Steve’s suggestion first and it solved the problem in the easiest to explain over the phone to the user method.
Many thanks for your help, it is appreciated.

        Regards
        Greg

      Hi Greg,

Not sure which version of MS Works your client is using. I suspect the “Set Print Area” is set to that one spreadsheet cell. Thus, that cell is the only one printed.

      To correct it:
      1. Select all cells in the spreadsheet, or just the portion you want to print by click down, drag across cells diagonally, release.
      2. Choose the “Set Print Area” command. This is either on the File->Set Print Area menu, or Format->Set Print Area menu, or Format toolbar button.
      3. Click OK.
      4. File->Print Preview should show the desired cells being printed.

      Did this solve the problem?

        Hi Steve:

Many thanks for your suggestion! It was easy enough to explain to the user over the phone and corrected the problem.

Just as I was getting into bed last night, I remembered that I didn’t have the highlighted box in a column that had adjacent data when I selected Format-format all.

If that doesn’t work I shall be trying your suggestions. The user is gone for the weekend, and I should be able to post back on monday evening.

      Regards
      Greg
