Seeking Recommendations for Lightweight Project Management Software

    Hi everyone,

I’m currently on the lookout for a lightweight, easy-to-use project management tool for a small remote team (5–7 members). We don’t need anything overly complex—just something that helps with task assignments, deadlines, and maybe basic progress tracking.

    Ideally, it should:

    Be cloud-based

Have a free tier or be budget-friendly

Allow file attachments and basic team collaboration features

We’ve tried Trello and Asana, which were decent, but I’m curious if there are other hidden gems out there that you’ve personally found effective.

Would really appreciate your thoughts or experiences—thanks in advance!

    Best,
    Finlay Thomas

We did this work with a project leader. The biggest project I ran has about 10 people on it and it was done without any such software.

A more recent project used Jira but this only increased the workload as we had to feed the Jira monster.

At under 10 on the team, I don’t see the need.

Totally get where you’re coming from when you’re managing a small remote team, you don’t want some overly complex software that takes more time to learn than it saves. You just need something that helps you assign tasks, keep an eye on deadlines, and maybe share a few files and updates along the way. Simple, clean, and not a pain to use.

Since you’ve already given Trello and Asana a shot, you’ve probably seen how helpful a visual tool can be but there are definitely some other underrated options out there that might fit your flow better. One I’d recommend trying is ClickUp. It’s actually really flexible. You can start super minimal just checklists and tasks—and slowly unlock features if and when you need them. The free plan is solid, and it handles attachments, comments, and team chat without feeling overwhelming.

Another nice one is Taskade. It’s kind of like if Trello and Notion had a baby. It’s cloud-based, built for collaboration, and has this clean, visual setup that’s great for teams who like to work in real time. You can do to-do lists, mind maps, even quick project notes all in one place and the free version works perfectly for small teams.

Quire is another quiet gem. It’s super fast, very intuitive, and lets you break down big tasks into smaller sub-tasks easily. It supports deadlines, file sharing, and real-time comments, and it doesn’t feel cluttered at all. Great for people who like structure without noise.

And if you’re thinking, “none of these are quite right,” or if you want something that’s truly tailored to how your team works, I am happy to recommend you a company which is quite professional in these kind of projects. They specialize in building lightweight, easy-to-use systems that feel custom without the custom price tag. Whether you want to tweak an existing tool or create something new that just makes sense for your workflow, they’re really good at keeping things clean and collaborative.

keep things simple & functional is so important especially for small remote teams juggling real work with tight timelines. Tools should work for you not the other way around.

ClickUp, Taskade & Quire are definitely solid. I have also seen teams get great mileage out of Notion + Slack when they want max control without extra fluff.

what is your team’s work style like? Are you more async and checklist-driven or do you thrive on live collaboration and quick back-and-forths?
