Shared programs & files on shared computer

I recently set up a Small Businss Server and created user IDs and passwords for everyone in the office. The main purpose of the server is to run a CRM package and to provide access to everyone.

My problem is that when a user logs on to the network domain they cannot see or use any of the programs or files that were previously set up under their non-network user ID.

How can I change the settings so that the desktop, documents and programs available will be identical regardless of whether they log on to their PC outside or as a part of the domain?

I have figued out how to change the properties on individual programs (right click on program, properties, sharing, etc.). But that is tedious process to have to go through on every PC for every program. There must be an easier way.
