Vendor Demonstration Scorecard

We're in the process of selecting a new clinical application vendor, and in that process we'll be bringing in the top three respondents to the RFP to provide system demonstrations. Attending the demos will be various users who will then grade each vendor. It is on my plate to develop the scorecard the attendees will grade, but I'm not sure where to start.

Does anyone have a vendor demonstration scorecard or template that they'd be willing to share?

I dont have a sample

But I created one about 10 years ago in another job that I liked.

I took each requirement, and weighted it on a 1-5 scale, where one is nice to have and 5 is mandatory. Then I had all participants review the weightings.

During the presentations/demos I had each participant score each vendor on each requirement. When we didn't know we did followups and brought them to the group to rate.

It helps to group the requirements into functional areas, and it may help to eliminate some requirements which have too much overlap.

Obviously the first thing to look at is the 5s or mandatory requirements, you must all agree on the scoring for those as any vendor who doesn't score well there should be eliminated immediately.

We've already been through design sessions with the users in order to incorporate and weight items on the RFP, so I can pull those items into the scorecard they'll use to weight the demos. Simple enough -- thanks!
