Word Forms Not allowing Spell Checking

By jef ·
Users have created a template of a form. The form contains check boxes and text fields. The template was protected as a form. The end users want to spellcheck the text that they have entered, but Word 97 & 2000 have the spell check grayed out. If the protection is turned off, spell check returns, but it only checks the template, not the text entered into the fields. Is there a way to check this text?

The text is not really text, it's a field. To change the fields to regular text, press Ctrl+A to select all
text, then press Ctrl+Shift+F9 (one of the more obscure keystroke
combinations known to mankind). If you wanted to automate it, you couldcreate a macro which does it, then assign that macro to the "On Exit"
parameter of the last field in the form be converted to text.

The first issue is that form fields default to the "no proofing" language. To get around this, here's one solution:
When you turn the Protection off, select the field(s), or Ctrl-A to select all the text in the document. Go to Tools-Language-Set Language and select English (United States) and click OK. Run Spell Check (F7) as normal. BEWARE -- do not turn Protection back on or Word will clear the form and you will lose all data entered!!
The second issue is spell-checking a form without having to unprotect it. There are macros that can help here.
If you go to http://support.microsoft.com/directory/, go to the Knowledge Base. #1 select Word 97 for Windows. #3 type in the box: spelling in protected forms. Click go to see informationon various aspects of this issue.

I added a spell check button to the form. with the foloowing code.

Private Sub cmdSpellCheck_Click()
' If document is protected, Unprotect it.
If ActiveDocument.ProtectionType <> wdNoProtection Then
ActiveDocument.Unprotect Password:=""
End If

' Set the language for the document.
Selection.WholeStory
Selection.LanguageID = wdEnglishUS

' Perform Spelling/Grammar check.
If Options.CheckGrammarWithSpelling = True Then
ActiveDocument.CheckGrammar
Else
ActiveDocument.CheckSpelling
End If

' ReProtect the document.
If ActiveDocument.ProtectionType = wdNoProtection Then
ActiveDocument.Protect Type:=wdAllowOnlyFormFields, NoReset:=True
End If
End Sub
