Exchange + AutoArchive

By msft ·
Hi,

Just a quick question regarding Outlook in an Exchange Server 2003 environment. At the moment, my company runs an "info" and "sales" account that is accessible to all users logged on via their Outlook. In other words, we might have 5 users logged onto the domain at once and all 5 users have access to the email via their Outlook clients. What was set up, because of our need for all of our staff to be able to access the email on their stations, is that each Outlook client is set up in the same way, so that they view the same emails/mailbox. The "sales" account is set up as a subsidiary to the "info" account so that the can view both at the same time.

However, recently I have found that the mailboxes are getting extremely large due to the large influx of mail. I am wondering if we can use Outlook's AutoArchive tool to archive emails to a Network share and whether this would work on a global basis because we are in an Exchange environment (I have a feeling it won't because each user's Outlook client may not synchronise to the Archive folder) or if there is a something I can do in Exchange to be able to use this feature or something like it.

Thanks for your help.

Public Folder

Your suspicion is correct about the archive file. Even if the archive.pst was stored on a network drive, Outlook does not allow multiple peeps to open the file simultaneously.

Can you use Public Folders to archive some of the old stuff?
